Meeting Minutes 3/14

o Outdoor storage would be best

o Remember sanitation and cleaning – important to keep a schedule of this

o We should set up a high standard of service, maintenance, etc from the get-go

o Payment of students will probably have to be done through the school (student employment) and we should start working on this soon

Jason will be a conduit for us as a group to learn how to navigate the bureaucracy that is LC

Other stuff:

o He has theatre lights! We should remind him and take up the task of having them installed by facilities

o Looking for a projector for us

o We should try again for more tables at facilities

o Sign/menu should be hung by facilities when its ready

Reservations for events are important because the school tracks venue usage, and it will be to our advantage to have our parties counted so they will fund us in the future

o Reminder: Katie is contact for events people – tell her if you need something sent to events

Budgeting/Reimbursements

o Jason is working on a new credit card system for clubs called “P-Cards” which will allow us to spend money, track it, and set up accounts with vendors

We should make use of Bon Appetite’s buying power for things in bulk that we cant get elsewhere but they are buying anyway

Member Retention:

o We should/are going to include money in the budget for satisfying our members : food, treats, parties, etc

o We need to feed and water them to keep em happy

o Member celebration…?

o Student money people will see this as a valid cost

Aaron is here from Community Relations Committee

They have money for us for critical blast ($300 ^)

We need to give them an amount and what it will be spent on

o Aim high because we can probably get a good chunk

We are going to use the money to get some awesome bands

Meeting Minutes

Budget

Amelia updated the group on current expenses

ASLC

*$973.40 for the rest of the semester*

$142 Cellar Door account payment

$100 CJ Boyd

$120 for musicians

$100 for food

$20 Quilt

$75 sewing machine

$50 member expenses

PROJECTED EXPENSES with leftover money (If any coordinators wish to move forward on these items, go for it and then let Amelia know and get reimbursed)

Signs, LARP treasures, workshop leaders, supplies (kitchen, office), CoOp Laundry Card, disposable cameras… toaster?, Panini maker?

Coffee Shop

Started with $811

Spent so far

-$243.76

-$150 Bulk food restock

-$90 for teas and French press

Critical Blast

$500 set aside

DIY – St Patrick’s Day

Cupcake making?

Green Drinks

Tie-dye?

Musician Ideas? Racket

Badminton?

Coffee Cart

+Meeting last Friday, setting out the budget

+We don’t have the cart from Seattle yet – uncertainty lies in the timing and the quality of the cart – hopefully that will come through in the coming week

+If it doesn’t come through, we might have to go with a commercial option… or we can try and organize a trip to Seattle ourselves.

+Sam and Jeff have been meeting with Celestino

Space

+IT contact for getting rid of old computer… and switching the computers – Sarah and Sam will work on it

+5 PM intentional beautifying the space time

+Vacuum should be in this week

+Utilities people? Where are the tables? They should be coming

Food policy

+Katie wants to use another CoOp’s food policy as a model, then make it public for members/school community

+This includes our basic ethics (locality, organicity, ingredients) about food

-Should be apart of food menu (product origins listed on menu in the future)

-Specific products from specific places – what companies and specific types of foods we are buying on a regular basis

+Stumptown or Cellar Door?

-discussion about this should be expanded at food policy meetings

-Cellar Door: smaller business, good to support them, more unique?

-Stumptown: bigger business, all over town, probably want us to use their equipment to make the coffee, etc.

NAME – (The?) RUSTY NAIL

+logo competition next

+with a prize? Coffee gift card/punch card thing

+Claire wants to make a rusty-nail mobile… errr

-LOGO competition –

+Unveiling party at the DIY bazaar

James Malin Coffee Shop Idea

-making everything really cheap

-calculating costs of how much things cost per item sold

-but also buying nicer products

-looking at food as a community space rather than a business

-we should move toward making all the food cheaper

-makes sense with our social philosophy

*This should be done with a serious re-working of recording of accounting

+We should take the schools opinion into consideration about how they will respond to the cheaper prices

-will bring in more students, teachers, etc

-as an empowering space, it makes sense that we continue to further the message of the co-op through these means

+Website update – check it out

+Saturday at the Port – 4:30 PM – Pulled Pork Potluck

1) Meeting member will be help on Sunday 2/6 at 8:30 PM. Lizi will
send out a reminder.
i. brainstorm a name and logo design contest at meeting
2) Lizi will redo the coordinators photo and think about starting a
wall of members.
3) Jeff is working on the coffee cart business. He had a meeting with
Celestino 2/1.
i. When should we run the coffee cart?
ii. Where should we store the coffee cart?
iii. What should we do about shifts for the coffee cart?
4) Jeff wants everyone to spread the word about the Bee Media
Collective: a group of good people teaching people how to spread
messages through low cost media. (correct this if it’s wrong).
5) Sarah, Claire, Amelia, Penelope are working on the DIY Bazaar on
Feb. 17th. Theme: Pizza/Kickball Party. Will start at 5 PM. We will be
in touch with Natalie about advertisement.
6) Sarah is brainstorming dumpstering ideas and expanding the menu a
bit. Bananas from New Seasons?
7) Zein booked shows for March 13th and April 6th. Zein, let us know
who is playing and what conversation you have had with the bands.
Sarah will talk to Sam Kellogg about being a technology
coordinator.
9) Natalie is working on a co-op zine. It will include menu items,
maps to get to the co-op, get to know your coordinator section, bulk
food recipes, and featuring the new zine on the cover.
10) Budget business: each coordinator should try to predict how much
they want to spend this semester. We have about $1660 as of now.
11) Danny made bulk laundry detergent. $ .25 a cup. Lez sell that
shtuff.
12) We were not charged for publicity stuff from last semester.
Natalie will get on that… maybe.
13) Coffee ratios are on measuring cups! Let members know that.
14) member training: sign up to train members who have yet to be
trained!
15) Katie went crazy with the bible. use it. abuse it (not really).
16) Julia Huggins is getting involved with food task force. Talk to
her about food cart stuff or anything else of interest. Contact:
suddenlyesterday@gmail.com.
17) Cellar door said that we owe them $180- Kelly.
18) Should we switch to Stumptown? Bookstore has stumptown coffee now
and maybe we can join forces and get our coffee delivered. Plus,
Stumptown invited us to a “cupping”.
19) Penelope spoke with the editor of Polygot, who wants to host a
writing/ photograph showing night at the Co-op.
20) Claire will facilitate next weeks meeting. She will sort our stack
according to relevance of topic and post it by Fritag so that we can
all look it over this weekend. Also, next week, let’s divide into
Events and Coffeeshop crews.
21) Everyone should email Natalie their BEST photo of themselves for
the Co-op zine.
22) We should work on buying things from local distributers.
23) Sell bowls of granola? With homemade granola (maybe)?
24) In the near future, we should continue discussion about expanding
menu, as well as decide on prices. In our agreement with the Bon, we
can distribute ingredients, but me can’t prepare food because we lack
an industrial kitchen.
25) Lez get some punch cards up in here. Gift cards for performers?
26) We will work on getting more seating in here. Let’s make it more
coffee shop-ish.
27) Rocking chairs for outside?
28) Kim is going to the rebuild center this weekend. Let her know if
you would like to tag along.

Coordinator-member relationships: trainings through next week

FACILITATION/MEETINGS

keep a good vibe, ensure that everyone is talking

each coordinator should facilitate at least one meeting a semester

finish stack 2-3 days in advance of the meeting, hang on corkboard for members to see

good intentions, always let others finish thoughts before you begin to speak

be aware of how much you are participating

keep the agenda in mind

STACK- facilitator+coordinators decide on order of agenda prior to meeting. In emails, plan fifteen or twenty spaces for stack topics, arrange in order of importance

majority votes

subcommittees- developing. Use as a reference to work on specific projects. Signups @ Spring Activities Fair?

Co-op/Coffee shop/Events: MEETING ORGANIZATION/SEPARATION

Katie’s proposal: every other week= all coordinator, between that=coffee shop&events meet independently.

Claire: Would it make sense to meet all together every week and have individual meetings as need be?

Sarah: Or meet for some about of time separately before all come together to discuss issues?

Verdict: Meet in small groups first, join together, facilitators decide what should be decided amongst the entire group of coordinators, share decisions of small groups.

What about those whose jobs apply in both arenas?

decide week by week which meeting to attend

facilitators- signups now, take note of whether you’ll actually be able to attend your group on the facilitation date or if you’ll need to be in the other group for that week, let people know ahead of time in case of a need for a replacement facilitator.

MEETING PLANNING- Doodle=Sarah

COMMUNICATION- Google groups

Critical Blast-events!

Coordinator- members we are responsible for-signups this week

Training plan- Katie

Opening party? member meeting

Co-op celebrations too standardized? But when we do have parties, people come and its fun. Keep both things in mind when planning events.

Make our accomplishments and developments known!

THIS SEMESTER

Danny- laundry detergent in bulk

amelia- financial organization & co-op quilt

James- revitalize food and coffee, learn about our contract with the Bon

Jeff- sustain and grow bulk food, especially through the coffee cart. co-op representation and campus-wide co-involvement

Zein- bring more kinds of music to the co-op

Katie- Big dreamz! Mostly interested in having group discussions about what we want our community to be. As many voices out there possible. Making the coffee shop a more functional and transparent business. membership wide conversation- what kind of food do we wanna purchase and from where? and credit card machine!

Kelly- learn responsibilities and work with amelia to figure out financial situation. organizational system.

Sarah- weekly craft night at the co-op, skillshare a couple of times a month. bike repair skillshare? food-sandwiches

Claire- skillshares

Penelope- opening the co-op’s connection with students, art department

Kim- clamp light for overhead, not florescent!, plyatech furniture

Natalie- decrease amount of paper used in publicity. know yr co-op zine: coordinators, ways to get involved, map.

+We should get a lock for the new storage closet, and start to decorate it
+Everyone’s coordinator blurbs should be done.

+Maya will be putting contacts into the binder for next semester’s coordinator. Previously, she did not know where to look for this info… and, otherwise we will have to restart every semester. Avoid communication issues where we can!

-remember to advertise by word of mouth coordinator applications

-lizi and Natalie will make posters and put apps right there so they can take them

-amelia made a drop-off folder for apps on the counter

-lizi will email to members the application document and add descriptions together and email the ones that are all available and open

+Emily will be organizing for a behind-the-counter-stander for saturday night events

+lizi will inform kaj about the vote of no confidence results

+the interviews for coordinator apps will be held from 1-3 pm on november 21

+COFFEE CART

-Celestino wants a high-tech, mobile, self-sustaining cart

-he wants us to design it without the limit of a budget in mind

-Emily suggested we should offer gluten free and other alternative options that may not be available in the dove cote or at maggies

-we should create a subcommittee for this project… and perhaps a new coordinator position

-we should be as sustainable as possible – “mug library”suggested by bagel for people to reuse cups = or they have to bring their own

offee Cart!

Questions to ask:

How should we obtain one?

-option 1: make a cart – this will require lots of work and planning and will delay the implementation of the cart

-option 2: buy a cart – this may be less sustainable, but will allow us to start the operation of the cart sooner. Celestino is willing to purchase a cart to jump start the operation and maybe we could build a second cart later…

How will we store it?

-storing it in the Co-op would probably be optimal for purposes of restocking the cart

We will probably want to hire a Coffee Cart Coordinator. Jeff is interested in the position.

Should we hold a coffee cart meeting?

We will discuss more logistics and get back to Celestino.

Vote of No Confidence

Passed with a 2/3 majority

Lizi will notify Kaj of his dismissal

D.I.Y. Bazaar

Emily will reserve tables with facilities (she will also talk to The Dancing Hats also and ask if they want to play)

Music:

-Maya and Anna Spackman are going to play, they would like to go first

-Katie – can you find more musicians and be in contact with Natalie about who is playing?

-Maya will talk to Anna/Apocalips about slamming at the bazaar

How (oh how???) will we bring in more vendors?

Let’s make a theme… CLOTHING SWAP and COOKIE SWAP

Potluck – bring food and ask others to do the same

Brief minutes from the All-Member meeting 11/7 (I think Jeff and Lizzy may have additional notes or more detail about some of these things) (the -> are extensions that ran through my mind about some of these ideas.)

It may be a swell ideary to debrief this all and form some tackle tactics to make these projects happen in a decent way. lets do this at the next meeting? I’ll start a stack after this email.

IDEAZ

- movie library? -> get cord and projector situation situated

- vision: welcome all campus goers with all diff. projects/ideas

- keep updated message board -> make more accessable/encourage members to contribute

- organize a service committee? -> encourage a member to head this: perhaps service coordinator for Spring semester

- bulk expansion ideas: homemade laundry detergent, sugar, flour, and the like -> we should make sure the bulk system we’re initiating will work before expansion

- smoothie bike! http://www.instructables.com/id/How-to-create-a-human-powered-bike-blender-for-les/

- revamp/replenish art supplies (art budget?)
- skillshare with hour credits for services, etc: start by posting skillz on website & building contact

- music share (mixtapes, mixCDs etc)

- hold more consequential discussions/forums (either set time or not: make this a space for such vital conversations as well as less vital ones ) as this is a comfortable space where we can more freely and informally present our opinions

- set jam seshes?weekly songwriting circles etc -> meet musicians and build bands yo

-co-op memberz photo/polaroid wall

OTHERZ

- went over basic bulk system

- take tips

- cover shifts

- move $ to suggestion box in supply cabinet: leave $20 in register: discuss system for making change? use this stash as a resource?

- get/fix vacuum bags? kim did something along these lines recently

- music for DIY bazaar on the 22nd?

Supplies Needed:

- Can opener: Kim’s on it! thanks, Kim.

- Scotch tape

- Jars?

Upcoming Events:

-Nov 18th: Beehive Collective 5:30 pm

-Nov 21st: Spring Coordinator interviews (determine time?)

-Nov 22nd: DIY 5 pm

-December 7th: Electronic Music Show 7:30 pm

+ November 7 training meeting – what is our plan of action? what information we will be sharing with members?

-come early to clean and set up J

2 PM – Agenda:

Start with opening discussion/circle about what the CoOp means to us and to members

Opening your shift (and openers in morning)

Sign-in on Computer

Suggestion book

Closing your shift (and closers at night – money in envelope)

Add personal phone numbers to schedule

Shift-covering

Taking Tips

Co-opting clubs that members are also involved in

Bulk Food

Split into small groups (art, music, zine, foood)

Coordinator postitions

+we will serve food (Treats!! That Amelia and Danny will bring) at the meeting/training

+we should try to get the shifts filled with new members before the meeting so they can come and be trained for the first time

+we will be looking at the check-in document to figure out where shifts are empty (people not showing up) – Kai and Lizi

landccoop@gmail.com – password: f@irtrade (Google Docs)

-we will start keeping track of how many times people have missed

+the coop member listserv is out of date and needs to be updated (by this Sunday at the latest)

+Projector cord – it is lost! Danny will contact IT/media services – needed by Nov 2nd for Surf movie showing
+Coordinators for the spring… Lets talk about who will be continuing on and which positions need to be filled. This is pretty much preliminary… but if we want to, we can introduce coordinator roles/responsibilities to members at the training session. Again, this would be a good way of bringing it up early so they are aware that it will be coming up at the end of the semester.

-the process is long and takes time… we want to put out callouts so that people have time to consider/apply

WHO WILL BE HERE?

Jeff Kaj Kim Toy Lizi Amelia Emily

Katie (considering dropping Music) Maya? Natalie?

Need to fill: inventory, art

-Natalie can you start publicity next week?

-interviews will be November 18

-Kaj and Lizi will make applications available… publicly (O&A plug), and among coordinators to personally ask people

-open shifts available (plug in O&A)

-every coordinator can help by updating the coordinator positions role document… add “space” to it (Done by Dec 2, to be able to review at the last meeting)
+Empty shifts? Kaj and Lizi are going to look at the sign-in sheets and try and figure out when this is happening. If I’ve figured it out by then, we can talk about ways to fill the empty shifts.

+Bread Sales – loaves?

Kaj – we should be aware of how much we are doing, don’t want to take on to much

Kim – doesn’t think we have room for it – freezer is small, if it becomes popular where do we keep it? Well… we don’t have to keep it updated all the time

Hannah – we need people to commit to it

Emily – transition toward bulk food that we can get started earlier – we could also sell half-loaves

Danny – if it gets big, it should just be a once a week thing, if it gets sold out, then that’s ok, “Monday night bread night”

Amelia – itd be better if its brought in once a week

Katie – Bread good; if the number is determined by the number we can and should fit in the freezer, and it sells out, it sells out. As long as one person can take on the commitment, we should

Lizi – is this legal?

*Conclusion: ask Maya to talk to Dave’s about setting up an account

+november zine

Love Your Body Week zine is out

New one will be out December 3 – straight CoOP zine

Submissions from coordinators greatly accepted
+updating finance binder

-all of the information is outdated – Amelia is going to try and fix it

-this is part of the effort toward cohesion between semesters/years

-we should take responsibility to make sure our successors will be able to take on the role successfully/smoothly

-Bagel is going to make an art binder

-make a reference library for coordinators and members

-Kim made a budget log – we should work on filling it out next meeting

-also includes a coffee shop page
+what’s happenin with old computers?

-natalie – can you get in touch with IT about securing the new computer so its not steal-able, oh and they also need to unlock to the old one so we can get rid of it

-we should donate them to FreeGeek

-maybe we should move the new one behind the desk?
+establishing some sort of cleaning system -> maybe after/before our meetings we could spend just 10 minutes reorganizing/tidying up – weekly straighten up so that it always looks nice J

-if you can’t clean before, you should try to do it after, and visa versa

+the Beehive Collective – artists that tackle environmental issues – “a big visual orgasm” – then they present it – use animals to represent people

-Jeff is applying for grant money to bring them to campus

-November 18, 19?

Membership meeting was postponed- bulk food, food handlers & members showing up for shifts

membership is extremely important and we’re definitely struggling with it

talk to Lizi and see if she would be interested in/willing to gain more responsibilities in the area of membership

november 7th- all co-op member meeting. we need to MAKE SURE we send out an email about this.

Bulk food- missing a specialized piece for the dispensers. once we get this, all systems GO!

Till- Maya made an excel worksheet for when we need to move money. it’s located in the supply cabinet suggestion box. Write down who put the money there, the date and the amount each time money goes from the till to the closet, and amelia will then move $$ to the safe

DIY Bazaar- signup for postering, held indoors this time at 5:00 pm, have musicians(acoustic) start at 5:30

music- we need other people to play

POTLUCK- each coordinator should bring some foodstuffs. Jeff will try to bring garden food.

Taco party! beans and rice-bagel, salsa-hannah, taco shells, ‘maters, lettuce- danny, squash- amelia, horchata- emily

can we each convince three people to be vendors?

BIG SIGN- permanent and cheap. remind people what they can get at the co-op AND a diy bazaar sign (which is up and looks great!)

Coffee shop account- as of now, we only have $10.00 in it. Amelia will talk to the finance officer and figure out how to put $$ in the account.

reimbursements DO need to be done through the school

Coffee cart!?!

Celestino has offered to buy us a coffee cart to sell coffee&bulk food in front of the manor house/wherever.

lots of logistics with this but an excellent opportunity to delve into the lewis and clark community-students, faculty and staff

Kaj- “What are you capable of doing?” “I think i’m capable of doing everything i said i was.”

wants to work with us and seeks forgiveness. we’re having major issues with membership and we need to make sure that things we plan come into fruition and that all goes smoothly for the remainder of the semester.

Could Kaj work with someone else to ease back into the position of membership coordinator? It’s absolutely imperative that we reenergize the co-op membership base.

Ask Lizi is she will be willing to take on some responsibilities related to membership

The SPACE- current mural corner=bean bag chairs and blankets, plyatech?

Door to the right of the office supplies- lost and found for phones, chargers, etc? and a future lost and found bin for coats and such

Celestino would like to attend one of our meetings-we should allow him to

Zines! Lookin’ good!

Piano- also lookin’ good. we should talk tot he school about tuning it. piano bench?

Minutes~ September 30, 2010

   – zine: release at the end of October in time for Love Your Body Week.
– We’ll have boxes at DSAs, Howard, the Womyn’s Center, Platteau,
co-op, library
– weekly featured zine/reviews—>write recommendations
– mice situation- cotton balls are out and about…we’ve still got ‘em,
maybe? steel wool isn’t in the holes yet, so we’ll wait for a mousefriend
sighting and plug up the holes after that! we should line the drawers with
peppermint oil and continue keeping bread in the fridge
– Budget- we need to revise the proposed budget outline from last year.
We have $1700 plus $500 for critical blast. Amelia and Bagel will get
together to discuss the proposed budget and then we’ll all talk about it
together. next meeting- number one thing on this agenda is music!
– Paying bands?
– potentially pay each band that played the first DIY bazaar $30 if we
figure out the budget
– music used to have a bigger budget
– develop a system for paying bands, particularly if they’re
travelling
– the current proposed budget has $300-$400 for music
– DIY Bazaar- how it went down
– music should start earlier/on time because people who came left when
it got dark. Hold them from 7:00-10:00 from hereon out, perhaps?
– Music and DIY can overlap- schedule quiet bands earlier
– make sure we have enough supplies before we start, especially
condiments, lettuce and tomatoes
– additional food…potlucks/crockpotlucks
– coordinators will each bring a dish, we’ll invite food-related
clubs and publicize that bazaars are also potlucks
– overall consensus about the first bazaar- it was successful, the
music was not. the bands we asked to say are big in portland,
but lewis and
clark students want something different. we should have more
varieties/genres, bands from LC
– up the publicity and make sure the atmosphere is good.
– Computer- Natalie will ask the Womyn’s center about their extra
computer
– Logbook for workers- Maya has the excel sheet/price/buying list
prepared and will print it; there’s now a tiny suggestion book next to the
computer
– Bulk food~ Coming Tuesday!
– 25lbs each, extra should be stored in a place where it can’t be
stolen and won’t go bad
– we’ll discuss bin spacing, etc once we have them
– *bulk food publicity*: piolog, website, facebook
– ask a non-coordinator to write something about bulk for the
piolog
– bring on the publicity heavy after fall break!
– Retraining workers for logbook and bulk items: October 17 (Sunday)
—we need to pick a time for this!
– We’ll update workers on what’s happening at the co-op
– potluck
– general get to know you
– Attendance at Events meetings- Katie&Emily, at least one person should
go
– How to get more people coming into the co-op/appealing to people
– Publicity: telling people what we have to offer. Right now the
co-op pretty much appeals to one crowd. How can we get a
variety of people
in the long run? We need to find ways to get into the “natural
habitat” of
other crowds and encourage them to use our space.
– Jeff will create a signup list of clubs we can go to and tell them
why they should utilize the co-op
– give people more reasons to come here- snack/drink/comfy
sofa/zines/mural
– signs for the windows that advertise all of the great things we have
– We should start a sports bin, but everything in it should be clearly
labeled as belonging to the co-op, so as to defer thievery. —> Make sure
there’s room in the budget for this
– Closing for fall break: Thursday-Saturday, reopen sunday the 10th
– cable cord situation for events: Nick Erickson has been on call for
sound which isn’t okay & we need to make sure that we have sound equipment
and a sound person….we need to communicate with campus Events about doing
sound ahead of time
– Documentary- Maya would like to show a documentary about the cocoa
industry/human trafficking and sell fair-trade chocolate.
– pick a date
– figure out how/if the projector works
– If there are more than $30.00 in the till, money should be moved to the
supply cabinet suggestion box. Bagel will get in touch with people who
close and tell them to move money at the end of each night.
– We need to talk to Kaj about his participation in the co-op, as he has
been absent from the past two meetings.
– Talk to people who have consistently missed their shifts about coming
to them. —>Retraining
– Hoedown- Currently planned for Thursday, October 21st
– Bands- Jugs matter- Lizi contact, Sam Barber- Bagel contact, Dancing
Hats
– Fruition, local bluegrass
– talk to katie about music
– square dance caller?
– crockpotluck, garden goods, cornbread, chili, soup, haybales?
– pumpkin carving…
– pumpkin carving event? talk to other clubs about pumpkin
acquisition/clubs that annually carve pumpkis
– RAs, PEAS, SEED, ASLC, SURF
– subcommittes
– post-budget ideas: kareoke machine, sewing machine
– Maya- seek out piano
– Disco party? yes!
– email co-op members re:tips
– *Thursday the 14th. Mandatory coordinator meeting at 5:30. Come
